Are vendor registrations required?

Exhibitors receive one full registration per booth, which entitles them to all social functions and educational sessions OR two floor passes which only allow admittance to the Exhibit Hall. Additional registrations will be $375 or $130 per person per day for floor passes.

What is the detailed program?

The detailed program will appear in the Conference Brochure on the IAI Website in early Spring. Any vendor holding a full registration is entitled to attend any conference lecture or social event. Separate registration and fee is required for Workshops.

Are vendors invited to the programs and what is the appropriate dress attire?

Any vendor holding a full registration is entitled to attend any conference social event. Dress for the Sunday night President’s Reception and the Friday night Installation Banquet is coat & tie (appropriate corresponding dress for ladies).

Will there be any breaks scheduled for attendees in the vendor area – breakfast, lunch, etc.?

What sponsorship/donation/door prizes opportunities are available?

Will the vendors be provided name badges?

All vendors will be provided name badges consistent with their level of registration. Floor passes are different badges from full registratiWor passes entitle access only to the vendor floor, not the social events. Full registration badges allow access to all conference activities.

Will the vendors receive a list of attendees at the close of the conference?

Yes, an attendee list will be provided to all vendors at the conclusion of the conference or sent by e-mail after the conference.

How are vendor booth spaces selected?

Booth spaces are allocated on a seniority basis, with sponsors having first choice. Each vendor is added to the seniority list in the order of years of attending the conference. Those who have a long seniority with the IAI are provided first choice then moving down the seniority list to those with less time.

At each year’s conference, each vendor is given an opportunity sign-up for a booth space for the following year’s conference. A detailed diagram of the future exhibit hall is included so vendors know where their booth will be located. As noted above, that sign-up occurs on a seniority basis.

What comes with the booth?

Approximately three months before the conference, all registered vendors will receive a vendor packet from the exhibit company that will include the setup, draping, etc., for the booths. Information about booth amenities will be provided in the packet. Be sure to carefully read the information provided. If your display requires more than the minimum offered tables, etc., it is your responsibility to work with the exhibit company to obtain additional tables, chairs, carpet, electrical requirements, etc.

What are booth fees and when are those fees due?

Booth cost is $1,250 per booth. Payment in full must be received by April 28, 2017. Late fees will be assessed after that date. In no case can a vendor exhibit at the conference without paying the booth cost before moving in.

Checks should be payable to the International Association for Identification (IAI) and should be sent to the Exhibit Coordinator, Jim Murray, at the address noted above. Please note that the IAI also accepts all major credit cards.

What is the proximity of the vendor area to the general session area?

The IAI strives to ensure a traffic pattern that will bring conference attendees regularly into the immediate proximity of the vendor area.

Is vendor area secured after hours?

The vendor area is secured and locked after hours. If, due to the physical arrangements at the hotel or convention center, guards will be hired and posted to ensure the security of the exhibit area after hours.
